1. Introduction
ProdOps HQ ("we", "us", "our") is a developer productivity platform that helps engineering teams track performance metrics and health scores. This Privacy Policy explains how we collect, use, store, and protect your information when you use our service, including our integrations with third-party platforms.
When your organisation connects its systems to ProdOps HQ, that organisation is the data controller and we process the connected data on its behalf under our Data Processing Agreement. This policy describes that data in general terms; the full list of fields we read from each integration is available to customers and prospective customers on request. We are the controller for your account details and for how you use ProdOps HQ.
2. Information We Collect
We collect the following information:
- Account information: Name, email address, and user identifiers from connected platforms.
- Workspace metadata: Organization and project names, team structures, and membership information.
- Activity data: Issue and ticket metadata (keys, statuses, assignees), commit counts, pull request and code review activity, and related timestamps used to calculate productivity metrics.
- Code content: We briefly access source code and file contents from connected repositories to generate fingerprints that detect duplicate changes. Code content is processed transiently and is not permanently stored.
- HR data: When you connect an HR system such as Employment Hero, employment and role information about your people, such as employment dates, team, manager and role, and the other employment attributes your organisation chooses to sync. The full field list for each integration is available on request (see section 1).
- Support and conversation content: When you connect a support desk such as Zendesk or another conversation tool, the subject and text of those records and the automated classifications we derive from them (category, sentiment, urgency, summary). We also store the text of pull-request, commit and issue comments from connected repositories and issue trackers.
- Usage data: How you use ProdOps HQ, such as pages visited, features used, browser type and timestamps, collected through our own systems and, where we engage them, analytics providers listed on our Sub-Processors page.
3. How We Use Your Information
We use the collected information to:
- Generate team and individual health scores and productivity metrics.
- Display dashboards, trends, and leaderboards within the ProdOps HQ application.
- Authenticate your sessions and manage workspace membership.
- Improve and maintain the reliability of our service.
- Understand how the product is used (for example, which features are used and how often) so we can improve it.
- Classify development activity using automated analysis, including AI-based techniques, to improve the accuracy of productivity metrics. Development activity is classified from metadata (commit messages, file names and line counts), not from code content. Text from connected support desks and conversation tools is classified after contact details are masked. Source code and HR data are never sent to AI providers.
- Generate anonymized, aggregated industry benchmarks and reports that cannot be used to identify any individual, team, or organization.
4. Data Storage and Security
Your data is stored in encrypted databases hosted on secure, industry-standard cloud infrastructure. All data is encrypted in transit via TLS and tokens are encrypted at rest. We apply the principle of least privilege to all data access and regularly review our security practices.
We retain your data for as long as your account is active. If you disconnect a third-party integration, we revoke the connection credentials but previously collected activity data remains in your workspace and continues to inform your metrics. If you ask us to delete your account, or your account is terminated, all associated data is permanently removed within 30 days.
5. Data Sharing
We do not sell your personal information. We share data only in these circumstances:
- With your workspace members: Aggregated metrics and team dashboards are visible to members of your ProdOps HQ workspace.
- Service providers: We use trusted infrastructure and processing providers (e.g., cloud hosting, error monitoring, automated classification) that process data on our behalf under strict confidentiality agreements. See our Sub-Processors page for the full list.
- Anonymized aggregate data: We may publish or share anonymized, aggregated statistics derived from usage patterns across our platform. This data is stripped of all identifying information and cannot be traced back to any individual user, team, or organization.
- Legal requirements: When required by law or to protect our rights.
6. Third-Party Integrations
ProdOps HQ integrates with services via their official APIs. When you authorize a connection, the respective platform's own privacy policy also applies to data exchanged through that integration. You can revoke access at any time from your connected platform's settings.
7. Your Rights
If your data is in ProdOps HQ because your employer or organisation connected its systems, that organisation is the controller; please direct your request to them and we will assist them in responding.
You may:
- Request a copy of the personal data we hold about you.
- Request correction or deletion of your data.
- Disconnect any third-party integration at any time.
- Ask us to delete your ProdOps HQ account; we remove all associated data within 30 days.
- Request restriction of processing of your personal data while a concern is resolved.
- Request your personal data in a portable, machine-readable format.
- Object to processing of your personal data.
- Lodge a complaint with a data protection supervisory authority.
8. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the application or by email. Continued use of ProdOps HQ after changes constitutes acceptance of the updated policy.
